How to Write a Service Invoice
A service invoice works best when the client can see what was delivered, how you calculated the amount, and what happens next without extra explanation. This guide keeps the invoice task-led, not lecture-led.
Write it in this order
- Start with the service and periodThe client should know what service this invoice covers and what time window or work block it belongs to.
- Show how the amount was builtMake it obvious whether the charge is hourly, fixed-fee, monthly, package-based, or retainer-based.
- Keep extras separate when they changed the totalAdd-ons, overages, additional visits, or extra deliverables should stay visible if they materially changed the amount due.
- End with the payment stepPut the due date, balance, and payment instructions close enough together that the client can act without another message.
Keep these lines concrete
- Write this
- “Monthly content operations service for April” or “Website maintenance visit and updates.”
- Not this
- “Services rendered” without naming the service or work window the client is paying for.
- If the amount changed mid-cycle
- Add the overage or extra work as its own line instead of hiding the change inside one flat service total.
If the choice changes, move early
